Artifact Attachment in Experiential Learning Journals — February 2025

The Experiential Learning module within Portfolio, now includes the ability for student users to attach artifacts to their journal entries. This enhancement allows users to submit evidence, such as timesheets or supervisor surveys, within their journal entries, facilitating a more comprehensive documentation of their experiential learning experiences.

Users must create a new Journal template with the 'Artifact Attachment' option enabled:

  1. Navigate to Sidebar > Curriculum > Forms
  2. Click Create New Form.
  3. Set the Type to "Journal Template".
  1. Once the template is created, users need to add the required questions before assigning it to the Placement:
    • Step 1: Add Question > Supervisor Signoff

o    Step 2: Add Question > Add Signoff File

  1. Save the Journal Template form.

Administrative users will then select the new template and add it to the Placements as needed.

  1. Navigate to Sidebar > Experiential Learning.
  2. Create a New Placement > Fill out the form and select the journal template you created.

3.    Users must select the previously created Journal template with the 'Artifact Attachment' option to add it to the new placement

4.    Save the placement.

Students will have the option to attach artifacts to journal entries within the new placement.

Adding a Journal Entry and Attaching Artifacts

  1. Go to Sidebar > My Placements.
  2. Find your new placement in the left-hand list.
  3. Under the Journals section, click on the assigned journal's name.
  4. Click New Journal Entry to start a new entry.

5.    Enter the necessary details for your journal entry.

  1. Attach any required artifacts, such as files, documents, or surveys.
  1. If needed, assign a Supervisor Signoff for review.
  1. Click Submit to finalize your journal entry.

Supervisor Review & Approval

  1. Once the field placement is marked Complete by the system, the supervisor can access the entry.
  2. The supervisor can view the attached file(s) through the same process.
  3. Upon review, the supervisor can hit Approve to finalize the evaluation.
